How Can You Overcome the Daily Grind?

Doesn’t it feel somedays like you are like that hamster running round, and round, and round that perpetual wheel? Not sure where you’re going, .. not if you’re doing the tasks you should be spending time on?

Well, I can relate. This is why I spent time setting up my Evernote system to support me stay above the fray of the daily grind.

Evening Routine

The preparation for the day starts the evening before. I try to do the morning routine stuff that is either mundane or would require a completely awake mind For instance, I pack my bags and get my clothes for the next day ironed and ready.

In addition to that, I also do two things in my GTD system:

  • Get Clear: I go through my inboxes and try to get everything processed into ‘next actions.’ If I need a shortcut, I at least try to get everything into my Evernote Inbox and tag the items I need to look at tomorrow with a Today tag.
  • Set Priorities: I also review my action lists to make sure that anything that needs to be looked at the next day is tagged with a Today tag. I may also look at my calendar and ensure that I have enough time set aside during the day to tackle at least everything on my Today tag. 

I would have checked this during my weekly review so this is usually just a double-check, but occasionally, my week changes so drastically from day to day, that I need to renegotiate my calendar and commitments throughout the week.

Once that’s done, my GTD system is at least clear, and any next actions I need to make sure get done the next day are identified.

In the morning, I may scan my inboxes – particularly my email – to see if any priority emails have come in, especially from colleagues, family, and friends who live and work in different time zones. And this is a specific scan. 

I am looking for anything that looks like it might change my Today view. If it doesn’t, I do not worry about it – I know I will get to it during processing time either during the workday or at least in the evening when I go through my inboxes.

If it does change my Today view, I quickly process the inbox item, or items, and renegotiate my calendar and Today view as necessary.

Daily Grind

This way, during the work day, whenever I have a spare minute or come across the calendar time I may be booked to tackle my Today view, I simply pull up my Today view. In this view, I can sort by tags to see all my next actions by context, and start completing ‘next actions’.

Two More Lists

In addition to a Today list, I also keep a Hot List. These are not things that have to get done today, but they are things that I need to get done pretty soon. They either have a huge reward or huge consequences for delaying them much further.

Both the Today and Hot List views contain ‘next actions’ I need to execute. For waiting for actions that I need today, I use a Check Today tag.
